Describe the premises and the areas to clean

Include your suburb, the type of business and an approximate floor area if you know it. Then list the spaces that need attention: reception, work areas, meeting rooms, staff kitchen, bathrooms, stockroom or shop floor. Mention any rooms that are excluded so the quote covers the right part of the building.

Photos can help show the layout and current condition. A wide view of each area is often more useful than several close-ups, with a separate photo for any particular problem. Clear private paperwork and avoid including staff or customers. A site visit may still be needed to confirm the work.

Turn “a full clean” into a short task list

People can mean different things by a full clean. One person may be thinking about floors and bathrooms; another may expect cupboard interiors, glass and detailed cleaning along every edge. List your priorities before discussing the price.

Start with the result you need in each room, then confirm the actual tasks together. Mention built-up residue, delicate finishes, persistent marks and items that cannot be moved. Ask what is included, what is excluded and which surfaces need further assessment.

• Floors: the surface type, accessible areas and any staining to inspect.
• Kitchen and bathrooms: the surfaces and fixtures to be cleaned.

Compare quotes using the same scope

When comparing proposals, check that they cover the same rooms, tasks, frequency and access arrangements. A lower total may simply cover fewer tasks or less frequent visits. Clarify any separate charges, the proposed schedule and how changes to the work will be agreed.
